Developed using sector-specific competence & Microsoft expertise

unitop – our end-to-end ERP solution for the wholesale sector

Wide assortments of products, differentiated terms and conditions and binding delivery deadlines are key features of the wholesale sector. We are actually extremely familiar with these challenges:

With unitop, we have developed a solution that displays your entire process from calculating quotations through to delivery. Based on our expertise in the sector, we are continually developing unitop.

As a Microsoft Solutions Partner, we bring together sector-specific competence with in-depth Microsoft expertise: using these as our starting point, we have taken the standard version of Microsoft Business Central and have created sector-specific expansions in app form – in a seamlessly integrated, scalable and future-proof way.

Areas of application

How unitop can be used in the wholesale sector

In the wholesale sector, unitop is used for products such as:

  • Office, warehousing & packaging materials (cardboard boxes, padding, labels)
  • Household goods & home/kitchen accessories
  • Cleaning & hygiene (B2B consumables)
  • Hospitality needs & take-away packaging (without foods)
  • Garden, DIY and seasonal items
  • Advertising materials & POS material
  • Operating materials & consumables (not governed by standards)
  • Other non-food product groups

Sector-specific functions in unitop

Our ERP solution for the wholesale sector – its main functions at a glance

Variant & attribute management

You can manage technical and commercial attributes of items centrally. Variants, Global Item Trade Numbers (GTINs) and freely definable attributes ensure that the descriptions of goods on quotations and orders remain consistent. That way, your staff can find the right product more quickly, and sales and service enquiries will arise less often.

Pricing & calculation

You can control graduated prices, campaign prices and hierarchical discounts centrally in unitop. Your teams can see what items are included in a quotation and how discounts affect the margin, at any time. That way, they can make reliable decisions – such as in the case of price tables for cardboard products or containers for cleaning products. You can also calculate prices individually for a sales document, based on the current cost prices of components and other factors in distribution, warehouse or production.

Framework, call-off & project orders

Long-running orders can now be scheduled, and you will have an overview of minimum quantities, call-off dates and delivery weeks at all times. Partial deliveries and block and call-off logics mean fewer scheduling risks. This makes customer reconciliation easier, as in the case of seasonal ranges or multi-branch projects. At any given time, you can see an overview of quantities already called off and remaining quantities from both block and call-off orders.

Availability management & proposed delivery dates

Stocks at each warehouse location, variants and reservations are clearly displayed. Realistic delivery dates are calculated as soon as the order is created. Based on the proposed delivery date, orders for delivery can be converted into a goods outward transaction – by warehouse management, for example. To guarantee that orders are processed promptly, you can automate order approval and the creation of a goods outward transaction for a specific distribution channel.

Scheduling

Planning worksheets calculate what restocking is needed at any given time, taking needs and current stocks into account. Detailed information on current stocks and documents (purchasing and sales), balance, scopes, minimum order quantities and order values and planning parameters helps you verify restocking decisions correctly.

Dropshipping & direct delivery

On receiving a customer order, you can use unitop to trigger an order to the supplier and the goods will go directly to your customer, without intermediate storage. Status, documents and despatch information are linked from start to finish and invoices are correctly assigned. Partial deliveries and non-standard senders’ addresses can be displayed in the system.

Warehouse management system (WMS) & mobile data capture (MDC)

With the WMS add-on, WMS, MDC and VAS (Value-Added Services) are available. Your teams can take care of commissioning and packing on the go; the warehouse management system (WMS) controls routings and storage locations. Additional services such as repacking or customer-specific labelling are saved in the form of individual process steps.

Multicarrier despatch & label printing

You can choose to use our universal framework of carriers for urgent, time-critical deliveries to connect the despatch platform of your choice. Labels for your carrier, such as DHL, DPD, UPS or GLS, can be generated directly from unitop via the multicarrier connector. Despatch data are transmitted and tracking IDs are reported back. Using cloud-based printing, you can print directly at the packing location without switching applications. Your processes will remain stable, even when handling high volumes.

Consignment stocks

In unitop, you can manage stocks at the customer’s premises or in-branch as if in your own warehouse – thanks to clear rules concerning ownership and billing. Order entry and goods outward to replenish consignment stocks are carried out in the normal way. Withdrawals are recorded and billed on a periodic basis; minimum stocks and restocking suggestions ensure availability. The quantities are transmitted to the channel-specific availability display.

Complaints & returns

From acceptance and testing to deciding whether to readmit the item to the warehouse, replace it or issue a credit note: in unitop, you have full control of returns. Your documents, images and test records are in the DMS. This reduces your processing times, and customer service and bookkeeping can carry out their tasks based on clear status information each time.

Incoming container management & import logistics

Imports are always in view from the time of the order through to goods inward. Containers, stocks that are in transit and estimated times of departure and arrival (ETD/ETA) are visible in one place; costs are assigned per container and included in the final costing. You can monitor status and arrivals in real time and you can enter incoming quantities and costs directly at goods inward.

Bonus & commission statement

In unitop, the customer bonus, refunds and commission rates for sales representatives are rules-based (such as annual bonuses determined by turnover levels). Periodic billing is transparent and auditable. Partners and sales and distribution receive documents that are easy to follow, making reconciliation easier.

AI-assisted incident management

You can use the integrated AI basics add-on for purposes such as automatically analysing incoming emails. The solution recognises the type of message (such as a call-off, despatch advice or complaint) and will suggest follow-on actions or propose wordings for outgoing communications – such as changes to master data, service cases or new quotations and orders. All campaigns, documents and incoming and outgoing communications are logged within the event and incident management system. That way, your team can allocate incoming mail more rapidly and process it directly in unitop, without changing applications. Billing takes place according to use.

Driving your digital transformation

Rely on our end-to-end ERP solution for the wholesale sector

Say goodbye to freestanding solutions and rely on unitop – the future-proof ERP solution that brings together ranges, prices, conditions, availability, purchasing and despatch in a single system and controls them using a shared database.

unitop was created with integration in mind. So that documents and transactions are shared in a structured way, you can connect partner companies to the system via EDI (such as EDIFACT) or by using standardised web services. You can control how master data are shared via the universal connector – including master data synchronisation and data synchronisation indicators. Stores and partner portals are linked to the system as standard (if needed, the web portal connector supports order acceptance and data provision). Carriers for urgent, time-critical deliveries operate via the multicarrier connector; devices on the internal network – such as scanners and label printers – can be connected securely via the unitop HUB. Open APIs ensure connectivity and future compatibility; add-ons such as WMS, product configurator or POS are seamlessly integrated.

The first thing we do is agree a defined objective and make sure that all of your processes are included. After that, we prepare data and carry out a test run in a test environment. If everything goes according to plan, we then train your team and work with you when the system goes live. In the first few weeks, we provide you with detailed support. The system operates in the cloud – with schedulable update and security processes.

Companies in the wholesale sector tell us that their processes are now more stable: promised delivery dates are becoming more reliable, reliance on storage and reworking is decreasing, complaints can now be dealt with more quickly and margins are becoming more transparent. Teams are using a shared body of data. With unitop BI, your key performance indicators are consistently available and are always up to date – right down to each individual entry. Inconsistencies are identifiable at an early stage, so you can take the right action.

FAQs from the wholesale sector

Does unitop cater for dropshipping and framework agreements?

Yes. Your dropshipping transactions (direct deliveries) are handled from start to finish – from the order and submitting the order to the supplier through to billing. Framework, call-off and project orders can be displayed with minimum quantities, call-offs and weeks for delivery.

Are add-ons required to cover core processes in the wholesale sector?

No. unitop covers the core processes in the standard version. Add-ons such as WMS, product configurator or POS are optional expansions – depending on the range, warehouse throughput or transactions involving other branches. The AI basics add-on is already integrated from a technical point of view; billing only takes place based on the extent it is used.

How can we connect suppliers and customers via EDI?

To share documents and transactions, you can use EDI; you can control flows of master data via the universal connector. Open APIs cater for special cases, without freestanding solutions.

Does unitop provide centralised support for multiple brands and countries?

Yes. Using the Central Client Management system (including centralised warehouse management system, order and purchase administration, Intrastat, number series, competences, Intercompany-Sync), brands and countries can be managed centrally – and clear responsibilities can be set in each case.
